Learn the steps to start automating your onboarding using Dubsado.

What is client onboarding?

In a nutshell, client onboarding is the process of introducing new clients to your business. 

The goal of onboarding is to welcome clients into your business and educate them on the solutions you offer. This includes everything from addressing concerns and answering questions, to warmly welcoming them into your business as a paying client. 

While some service-based businesses choose to do this process manually, you will save a lot of time and energy and greatly improve the consistency of the client experience by automating your client onboarding process.

When done well, your onboarding process helps you to:

  • Save time by removing repetitive admin tasks from your list, and reduce the risk of costly errors and miscommunications

My step-by-step for automating your onboarding process with Dubsado

Here’s my top tips to help get you started with automating your onboarding in Dubsado.

1. Map or plan your full process 

Before you start to set anything up – map or plan out your entire onboarding process, from the ways in which people can make contact with you, to the steps that will happen once they do, and the processes for commencing your work together. 

You can use a Google or Word doc to map this out, or whatever format works best for you. 

2. Identify what you will need

Identify the key elements you’ll need in your onboarding process. These typically include your lead capture form, scheduler, proposal template, contract template, and any necessary questionnaires.

3. Build or add everything first before you attempt to build your workflows.

Before diving into workflow creation, make sure to build and add all the necessary components. 

This could mean setting up your lead capture form, integrating your scheduling tool, creating proposal and contract templates, and designing your client intake questionnaires. 

Additionally, take time to identify how your leads typically inquire with you. Different streams of inquiries might require different strategies. For instance, direct DMs might need a different approach compared to inquiries that come through your website’s contact form.

As an extra tip, consider attaching a Lead Capture form to your scheduler to enable a “Call Now” button on your website. This small addition at the start can greatly increase the ease with which potential clients can reach out to you…and ease and simplicity is great for making an impactful first impression!

4. Build your workflows

Now that you have all the parts of your process ready or built, it’s time to bring them all together in a Dubsado workflow. This means that each step a client takes through your workflow (such as completing a form, paying an invoice, etc.) will trigger another action that will automatically take them on to the next step.
